This Privacy Policy explains how we collect, use, and protect information when you use our website and products including FlockRoute, Ops Manager, GloboGo, Admissions CRM, and Mengnohellef, and when you request a virtual assistant through our website.

By using our services, you agree to the collection and use of information in accordance with this policy.

• Name and email address submitted via contact or newsletter forms
• Contact, company and role details submitted via the virtual assistant request form (see Virtual assistant inquiries)
• Usage data such as page visits, clicks, and session duration via Google Analytics 4
• Cookies, local storage and session storage for site functionality and preferences
• Payment information — processed by trusted third-party providers and never stored by us

• To respond to inquiries submitted via contact forms
• To prepare a shortlist for your virtual assistant request and contact you by email, phone or text about it
• To send product updates via newsletter (only if you opted in)
• To improve our website and products through analytics
• To comply with applicable legal obligations

When you request a shortlist through the form on our virtual assistant page, we collect the following:

• Your name, work email address and phone number
• Optional details you add: company name, website and notes
• The skills and role details you select (such as how many people, hours and start date), and any skills you describe in your own words
• Where your visit started (first-touch marketing source): UTM parameters, the referring page (without its query string), the page you landed on, and the button that opened the form
• Your approximate country and time zone, derived from your IP address by our host, Vercel
• Your browser's user agent (browser and device type)

We also use your IP address to limit repeated submissions and for bot protection. It is not part of the inquiry we keep.

Why we use it. To prepare a shortlist of professionals for your request and to contact you by email, phone call or text message about this request. After you send the form, we may email you a one-time confirmation of your request. We never sell these details and don't use them for unrelated marketing. The marketing source tells us which channels bring requests.

Legal basis (GDPR). Steps taken at your request before entering into a contract (Art. 6(1)(b)), and our legitimate interest in preventing spam and abuse and in understanding which channels bring requests (Art. 6(1)(f)).

Who processes it.

• Vercel — website hosting, including the approximate location derived from your IP address
• Resend — email delivery (the inquiry email to our team and your confirmation email)
• Google — our email inbox (Gmail), where inquiries arrive, and Google Analytics 4 for site analytics
• Cloudflare Turnstile — bot protection on the form

Some of these providers may process data outside your country, including in the United States.

How long we keep it. Up to 12 months, as with contact form submissions, unless an engagement follows. If you hire through us, we keep the details that engagement needs for as long as it runs and as the law requires.

Your rights. The rights described under “Your Rights (GDPR)” below apply to these details, including asking us to delete your inquiry at any time.

We use essential cookies and browser storage required for site functionality, and analytics cookies set by Google Analytics 4 to understand how visitors use our site. The virtual assistant form keeps where your visit started (UTM parameters, referring page and landing page) in your browser's session storage, which is cleared when you close the tab. You can disable cookies in your browser settings at any time.

We use the following third-party services, each with their own privacy policies:

• Supabase — database and authentication infrastructure
• Vercel — website hosting
• Google — Google Analytics 4 (site analytics) and Gmail (our email inbox)
• Resend — email delivery
• Cloudflare Turnstile — bot protection on the virtual assistant form

We retain contact form submissions and virtual assistant inquiries for up to 12 months, unless an engagement follows. Newsletter subscribers can unsubscribe at any time by clicking the unsubscribe link in any email we send.
